An Example of Report Writing

ABSTRACTION


Education is a way to maintain an existence of a nation because education is considered as a base of a national civilization. Therefore, education has to be gotten by each person in this world. One of ways to get an education is through library. In university, library is a heart of the campus. Library is absolutely needed to support the success of all activities in the university. The activities are known as “Tri Darma Perguruan Tinggi”. It includes teaching, researching and dedicating in society. A main Library of UIN Syarif Hidayatullah Jakarta provides some services to support those activities in UI. The services include circulation service, reference service, internet and rental computer service, photocopy service, multifunction room, American corner, Saudi Arabian corner, Canadian corner, Munir corner, online journal, hotspot or WIFI and ICT and multimedia service. ICT and multimedia service is developed to suit the demand of this modern era such as digital collection and online library. The purpose of this report is to identify whether the services provided by ICT and multimedia service have satisfied the user o741 f the main library or not. When doing an observation to the service I found that media, such as room, electronic equipment and non-printed collection of ICT and multimedia service do not support the success of ICT task. The room is narrow and uncomfortable. The electronic equipment and non-printed collection are limited and not complete. Moreover, the socialization of services in ICT is not enough. Therefore, ICT and multimedia service should be moved to other place that is wider, or it should be rearranged and decorated to be a more comfortable room. However, the effort of ICT to give its best service to all users needs appreciated.


INTRODUCTION

Background
Education is a way to maintain an existence of a nation because education is considered as a base of a national civilization. Education is an effort made by members of the nation who are responsible to construct a share their glorious culture and ideological values of their nation into their youngsters’ personalities. Moreover, at this time, education is an important thing that has to be gotten by each person in this world to be able to solve many challenges on living in this world. Of course, there are many ways to get an education. One of them is through library. Library is a facility which collects printed and recorded knowledge, manages them with a special way to satisfy intellectual needs of its users and makes available media of reading materials. In university, library is a heart of the campus. The existence of a library is absolutely needed to support the success of the university. The library is obliged to provide much information which can support all activities in the university. The activities known as “Tri Darma Perguruan Tinggi” include teaching, researching and dedicating in society. In this case, UIN Syarif Hidayatullah Jakarta has a main library as well as other libraries in each faculty which provide information to support the success of “Tri Darma Perguruan Tinggi” in the university. The main library of UIN Jakarta is the oldest library in the university. Therefore, the main library has more experienced. For example, in 1980, the main library was recorded as the best library of universities in DKI Jakarta. Moreover, since 2001, the library has been improved such as the refurbishing the building, the application of automation system and security, digitalization for all collection and adding some service and instrument such as rental computer, audio and visual equipment, etc. these all things−the importance of library and the improvement of the main library of UIN Jakarta to support the success of Tri Darma Perguruan Tinggi- prompt me to report the main library as one of facilities provided by UIN Jakarta.
The main library of UIN Jakarta is a changed name of IAIN Jakarta library which was built in 1957, the same time when IAIN itself was built. At that time, condition of the library was very simple. It had only 1 room, 2000 exemplar collection and 1 librarian. In 1960-1964, the collection of books in the library was classified based on Dewey Decimal Classification. Besides that, the system of borrowing began to be ordered and the number of employers was four people. In 1964-1971, the IAIN library accepted many book contributions from many institutions, especially from Egypt and Saudi Arabian embassy. Therefore, in 1969, the number of collections was 1.320 titles, 10.999 exemplars of books, 23 academic essays, and 310 exemplars of magazines. In 1971-1983, the library was relocated to a wider room known as Aula Madya building. Then, in 1980, IAIN library was recorded as the best library of all universities in Jakarta. In 1984-1998, the library was moved to a new building known as psychology faculty. In 1998-200, the library was removed to a newer building which id nearer to the campus. In 2001, the building of the library was improved and services of the library were added such as rental computer, audio-visual equipment, etc. in 2002, the name of IAIN was changed to be UIN Syarif Hidayatullah Jakarta. Consequently, the name of the main library was also changed to be a main library of UIN Syarif Hidayatullah Jakarta.
Like other institutions, the main library of UIN Syarif Hidayatullah Jakarta has vision and missions. Here is the main library vision and missions:
Vision
Become to be the front information center and reference resources in all fields of knowledge, especially in Islamic field.
Mission
Provide complete collection of Islamic and general field of knowledge to support activities of lecture, research and dedication to society.
Provide fast, accurate and right services to give all information needed by all members of UIN Jakarta.
Develop the uses of the library effectively by conducting literacy information program
Develop a long distance service for all members of UIN Jakarta and society outside UIN
Create effective cooperation with society of campus and institutions or organizations inside and outside county
Develop quality of the employers in the library to be able to do their profession appropriately
Develop the existence and uses f non printed collection and online library

Aim
Therefore, the aim of main library of UIN Jakarta is to support the success of all activities of Tri Darma Perguruan Tinggi, which are progessing in UIN Jakarta such as teaching, researching and dedicating to society.
To reach the goal, the main library provides many collections and services to satisfy the users. The collections include printed and non-printed collection. While, the provided services include circulation service, reference service, internet and rental computer service, ICT and multimedia service, photocopy service, multifunction room, American corner, Saudi Arabian corner, Canadian corner, Munir corner, online journal and also hotspot or WIFI.
To suit the demand of this modern era, the main library has been changed from conventional library to modern library which uses mostly electronic equipment. Therefore, the main library is then developing ICT and multimedia service which can provides access to internet or Journal online and collects electronic resource such as audio, visual and digital collection. This improvement is to facilitate the user accessing the information from all media and from anywhere easier. These all things prompt me to observe more detailed the service for my report writing.
The purpose of this report is to identify whether the services provided by ICT and multimedia service have satisfied the user of the main library or not.

















BODY

Main Library
The main library of UIN Syarif Hidayatullah Jakarta provides some services to support the success of Tri Darma Perguruan Tinggi in UIN. The services include:

Circulation Service
This service includes the borrowing and returning books (general collection) that has been provided by the library to be borrowed. The procedure for borrowing and use of the collection in the Main Library are as follows:
Find the book you want to borrow on the online catalog computers that we already provide. After that look for the book in the ranks of the collection after you are sure that the collection is in our catalog.
Bring the book to circulation clerk and submit with your membership card. Borrowers are not permitted to use the card other than its members.
Once the lending process is complete, take the book and you can read it for one week.
Book loan can be extended for one week, and limit borrowing only up to two extensions only.
2. Reference Service
Commonly, reference collection can not be loaned out to take home; it should only be read in the place. But the main library of UIN gives a good general policy for visitors or members who desperately need to copy at a period of 1 hour with the following conditions:
Fill out a form provided
Leaving membership card / valid identity card.
The Reference Services includes, as follows:
Sources biography, bibliography, sources geography, indexes, abstracts, directories, and other sources of references.
Guidance and help search for the sources of references.

3. ICT and Multimedia Services

These multimedia services are provided for those who want to do a membership card activation, internet and journal access and watch a documentary. The service also serves the visitor questions about the internet, wireless, and computer, etc. In the multimedia service there are four people who are ready to answer the members’ questions.

4. Space Read
The main library consists of 3 floors where each floor has a function as a reading room. On the 1st floor reading room is located in front of the café. In the 2nd floor reading room is located in the middle, left and right wing. While on the 3rd floor the reading room is put in the middle of the next collection of references.
5. Internet Cafe and Computer Rental
The Main Library provides located on the first floor. This facility is provided for the academic community who want to browse articles, journals, etc. The cafe has 10 computers connected to the Internet, and 15 units of computers for rental. To use the internet cafe and computer rentals, user has to pay the cost of using Internet service.
6. Host Spot Area
In addition, the main library also provides access hotspots that are free. Hotspot means that this area is intended to make it easier for students to surf the collection of materials on the Internet. The steps to connect to hotspots include the following:
Turn your laptop wireless
Searching the current connection
Join to SSID with the name PERPUTAMA
Make sure that no IP wireless card in your laptop to "Obtain an IP's automatically"
The access point will give no IP to your laptop automatically
Congratulations you have connected to the internet!!

7. Place Baggage
For the sake of convenience and safety of visitors, the main library provides goods for student daycare or external visitors who will visit our library. This item daycare is located on the 1st floor of the Main Library with one officer on duty.

Although there are officers who keep the locker, but visitors are still advised not to leave valuable things such as WALLET, MONEY, HANDPHONE, JEWELRY, vehicle registration, ETC. in the locker.
8. Mushala

the main library also provides places for worship. It is located on the 3rd floor, not far away with a Sadjali Muna Collection. It is divided into two small mosques for men and women to be as comfortable as possible for them to worship.
9. Prima room
The main library also provides a prima room. It is provided for students who want to hold the activities. This room is located on the 3rd floor, with a capacity of approximately 100 students. Besides being used for event activities, it can be used as a meeting room.


ICT and Multimedia Service
Background
ICT and multimedia service is a service which is provided to activate member card, to access internet and journal online, to watch documenter film, etc. it was made after decision had been made to make the main library which previously used conventional system becomes to be a modern library to suit the demand of this modern era. Therefore, internet and rental computer services were reconstructed to be ICT and multimedia service which do the following missions of the main library of UIN Syarif Hidayatullah Jakarta:
Mission
Develop a long distance service for all members of UIN Jakarta and society outside UIN
Develop the existence and uses f non printed collection and online library

Tasks
To do those missions, ICT and multimedia service has to do some tasks. The tasks are categorized into two types, namely internal task and external task.
Internal task
Internal tasks are tasks to develop, secure and maintain system and hardware in ICT and multimedia service. They include:
Developing system
ICT and multimedia service has to develop the library system from the outdate system to the update one. That is to suit the demand of this modern era. For example, in 2000-2008, automation system in the main library used SPISIS system. The dos based system was developed by IPB University. However, since 2009, automation system in the main library has used TULIS (Technology UIN Library Information System) − the update system. It was developed from LONTAR (Library Automation and Digital Archive) which was made by UI. This system has tools that are more modern. It is a web-based system with JAVA language program and SQL database.

Securing system
ICT service has to secure the system to avoid virus strike which can damage net and system in the main library. Therefore, ICT always uses fare wall to protect the net and the system. The fare wall which is used is always changed periodically. Currently, ICT service is using KASPER SKY LAB security 2013 for its fare wall.

Securing hardware
Besides securing the system, ICT also secures its hardware. Currently, ICT is using CLASSES fare wall and a switch management with 24 ports to secure the hardware. The switch management is to prevent unknown addresses to access the main library system without having been confirmed by the host of the automation system in the main library. Through CLASSES fare wall, the host can give approval or ignorance to the unknown addresses who want to access the system.
Maintaining system
ICT has to maintain the system by continual checking and backing up all data of the system.
Maintaining hardware
ICT has to maintain the hard ware by continual checking and giving reparation service to hardware if it is needed.
External task
External tasks are tasks to give some services to the users of the main library. The services include:
1. Serving the users who want to activate member card
A person who wants to use the services provided by the main library has to have a member card. To get the member card, the person must come to ICT room for registration. ICT will give you service.
Serving the internet access for the users
ICT gives services to access internet by two ways.
a. Free hotspot
All members in the main library who bring their own laptop, can access hotspot/WIFI freely without having to register because the quota of internet access has been added from 50 people to 150 people.

b. Rental computer
All members in the main library, who unfortunately do not bring any laptop but want to access internet, can come to ICT room. ICT provides rental PC which can be used to access internet. You must pay 3.000 rupiah per hour to access the internet from this service. The money that you paid will be used for paying the expense of maintaining equipment.
c. serving journal access for the users
ICT gives free journal access for the members. initially, online resources for journal access are so many such as ISJID, GARUDA, ERIC, JSTOR, WARUNG ILMU, MAKTABAH SYAMILAH, INDEX ISLAMICUS, OXFORD ISLAMIC STUDIES, PROQUESST, GALE, EBSCO, QUESTIA, WILSON, NETLIBRARY, ILIBRARY and ANNUAL ISLAMIC STUDIES. However, now there are only two resources which are still active namely MAKTABAH SYAMILAH and PROQUEST. That is because, previously, ICT did not give socialization about the services provided by ICT to the users of main library. Therefore the users who did not know could not access the service and it made subscribed journal worthless.
Serving equipment which is needed to watching documenter film such as audio-visual equipment and documenter film. However the equipment provided by ICT is not complete.

Media
To do those internal and external tasks, ICT needs media such as room, electronic equipment and non-printed collection.
1. Room
ICT and multimedia service is placed on the first floor. It places two rooms. The first room is a place for accessing journal and internet. The second room is an office of ICT and also a place for non-printed collection. The former room provides 5 pc for accessing journal freely and other 5 pc for rental computer. Of course, 10 pc is not enough. Moreover, the pc is not equipped by earphone. In addition, condition of the room does not make the users comfortable to stay longer because the room is not equipped by a discussion room and a room for watching. The users prefer to stay at American corner rather than ICT room to access journal online and watch documenter film.
2. Electronic equipment
Some tasks of ICT are providing access to internet and journal online and also providing equipment which is needed to watch documenter film. However, the electronic equipment provided by ICT such as audio-visual equipment is not complete. For example, if you want to watch documenter film, you need to go to American corner then use its media to watch the film because ICT does not have the media.
3. Non printed collection.
ICT provides non-printed collection such as:

However, the electronic collection provided by ICT is few and not complete. For example, the subscribed journal online provided by ICT is only MAKTABAH SYAMILAH and PROQUEST.
Socialization
To make these services be used effectively by all members of the main library. ICT must do socialization about the service. The socialization that has been made by ICT is through face book and twitter. However, it is not an effective way. Many students don’t know its account and event there are some students who rarely access twitter or face book.











CONCLUSION
ICT and multimedia service is an effort to make the main library of UIN Syarif Hidayatullah Jakarta more modern to suit the demand of this global era by developing non-printed collection and online library. ICT and multimedia service has internal and external tasks. The internal tasks are to develop, secure and maintain system and hardware of the main library. Whereas, the external tasks are to give some service to the users such as serving member card activation, internet and journal access and also equipment which are needed to watch documenter film. To do these tasks, ICT needs media such as room, electronic equipment and non-printed collection. However these media doesn’t support the success of ICT tasks because, for example, the room is narrow and uncomfortable. Moreover, the electronic equipment and non-printed collection is few and not complete. The worst thing is the socialization of ICT and multimedia service is not enough. Therefore, there is only a few people who knows and uses the services provided by ICT.

RECOMMENDATION
To increase the quality of ICT and multimedia service in UIN Syarif Hidayatullah Jakarta, ICT should be moved to other place that is wider and it should be rearranged and decorated to be a more comfortable room, fore example, like American corner style. The wider room is to add some services in ICT such as room for discussion, watching documenter film and internet and journal accessing.
